Privacy Policy

This Privacy Policy (the "Policy") sets out the terms on which the operator of the "Nameless Guild Manager" (NGM) Discord bot and accompanying website (together, the "Service") processes and protects personal data collected through the Service. By using the Service, you agree to the terms of this Policy.
1. Controller and purposes of processing
Personal data is processed by the person operating the Service (the "Operator"). Processing is carried out for the purpose of providing the Service's functionality, maintaining its availability and complying with applicable legal requirements.
2. Categories of data processed
The Service processes a limited set of data necessary for the declared functionality:
- Discord identifiers (servers, channels, roles, users);
- display names and server nicknames of users;
- information about events and participation created by users through the Service;
- web interface session data, including a signed cookie.
The Service does not process the content of private messages, biometric, payment or other special categories of personal data.
3. Legal bases for processing
Processing is carried out on the basis of the user's consent, given by adding the Service to a Discord server or by authenticating in the web interface, as well as for the performance of a contract for the provision of the Service.
4. Purposes of processing
- providing the Service's functionality (events, signups, voice channels, role synchronisation);
- ensuring technical operability and security;
- responding to user requests.
5. Disclosure of data to third parties
The Service does not transfer personal data to third parties for commercial use. Data may only be disclosed to the Discord service in the course of requests initiated by the user or the server administrator, in accordance with the Discord Terms of Service.
6. Retention and deletion
Data is retained for the duration of the Service's use on the relevant server. Upon removal of the Service from a Discord server, the related data is deleted within the established timeframes, unless otherwise required by applicable law.
7. Security measures
The Operator applies organisational and technical security measures, including transport-layer encryption (TLS), access controls and regular backups. Access to data is granted only to authorised persons within the scope of their duties.
8. Cookies
The web interface of the Service uses strictly necessary cookies to maintain the user session and to protect against cross-site request forgery (CSRF). Cookies are not used to track users or to transmit data to advertising networks.
9. User rights
In accordance with applicable law, the user has the right:
- to access their personal data and to receive information about its processing;
- to rectify inaccurate or to have excessive data erased;
- to withdraw previously given consent to processing;
- to lodge a complaint with the competent data protection authority.
To exercise these rights, please contact the Operator via the support server. The response time shall not exceed 30 (thirty) days.
10. Minors
The Service is not intended for use by persons under the age specified in the Discord Terms of Service (13 years). Should the Operator become aware that data of a person below this age is being processed, such data shall be deleted.
11. Changes to this Policy
The Operator reserves the right to amend this Policy. The current version is published on this page with the effective date indicated. Continued use of the Service after the amendments come into force constitutes the user's acceptance of the updated Policy.
